We are looking for an Events & Marketing Coordinator who thrives in a fast-paced environment and enjoys bringing people together through exceptional experiences and communications.
Position Overview
The Events & Marketing Coordinator plays a key role in the planning, execution, and promotion of InterGen programs, events, and community initiatives.
This individual will support event logistics, attendee experience, sponsor activation, community communications, content distribution, and marketing campaign execution across the organization.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple projects simultaneously. They enjoy working behind the scenes to ensure events run smoothly while also contributing to marketing initiatives that engage and grow our community.
Key Responsibilities
Event Planning & Execution
- Coordinate logistics for InterGen events, including venue management, registrations, catering, AV, signage, and speaker support
- Manage event timelines, run-of-show documents, and execution checklists
- Support onsite event delivery, guest experience, registration, and sponsor activations
- Coordinate event communications, confirmations, reminders, and follow-up materials
- Assist with attendee tracking, reporting, and post-event surveys
- Support event photography, content collection, and recap materials
Marketing & Communications
- Support the development and execution of marketing campaigns for events, programs, and community initiatives
- Build and schedule email campaigns through HubSpot
- Create and schedule content across email, website, and social media channels
- Draft event invitations, newsletters, promotional materials, and community updates
- Assist with content repurposing and distribution across channels
- Support video, storytelling, and community content initiatives
Website, CRM & Digital Marketing
- Update website content, event pages, and landing pages
- Maintain CRM records, audience lists, and contact databases
- Support segmentation, email workflows, and marketing automation
- Assist with mobile app communications and engagement campaigns
- Ensure marketing information remains accurate across platforms
Community & Sponsor Support
- Help manage relationships with attendees, speakers, sponsors, and community members
- Coordinate sponsor deliverables and ensure partnership commitments are fulfilled
- Support community engagement initiatives and member communications
- Assist with program and event reporting
Reporting & Administrative Support
- Track registrations, campaign performance, and engagement metrics
- Assist with monthly and quarterly reporting
- Coordinate vendor communications and event invoices
- Support budget tracking and expense reconciliation
- Maintain organized project files, templates, and event documentation
Qualifications
Required
- 1–3 years of experience in event coordination, marketing, communications, or a related field
- Exceptional organizational and project management skills
- Strong written and verbal communication abilities
- Ability to manage multiple deadlines and priorities simultaneously
- Proficiency with Microsoft Office and Google Workspace
- Ability to work occasional mornings, evenings, and event days
Preferred
- Experience with HubSpot or similar CRM platforms
- Experience with Showpass or event registration platforms
- Experience with email marketing platforms and automation tools
- Familiarity with Canva and social media scheduling tools
- Basic website editing experience
- Experience creating short-form video or social content
- Experience supporting corporate events, conferences, community programming, or nonprofit organizations
